Regional Director of Facility Management

Location: Florida Region

 

 

Job Summary

The Regional Director plays a pivotal role in ensuring operational excellence, financial performance and resident satisfaction across multiple Senior Living facilities. The Regional Director leads a team of Maintenance Directors and other maintenance staff within a specific region. This role oversees the maintenance, operations and physical infrastructure and is critical in ensuring the safety, comfort, and functionality of multiple Senior Living facilities while supporting the delivery of exceptional services to internal and external customers, residents and stakeholders.

Key Areas of Responsibility

Operations

  • Maintain effective communication channels with the community leadership team, staff, and residents to address maintenance needs and concerns promptly
  • Collaborate with the community, Regional’s and the VP and executive leadership team members and stakeholders to develop and implement facility maintenance strategies that align with the organization’s goals and initiatives
  • Assist in the development and implementation of facility maintenance programs, including preventive and corrective maintenance, to ensure optimal functioning of all systems and equipment
  • Ensure all maintenance activities comply with local, state and federal regulations, as well as the industry’s best practices
  • Respond to and complete property and resident work order requests at assigned communities promptly and professionally, ensuring high levels of resident satisfaction
  • Maintain detailed records of maintenance activities, inspections, and compliance reports
  • Perform routine inspections and surveys of interior and exterior areas of assigned location(s), ensuring common areas, grounds, and building exteriors are clean, well-maintained, and safe
  • Lead safety initiatives, including regular safety inspections, training, and emergency preparedness planning
  • Plan and oversee major projects, repairs, and renovations, ensuring timely and within-budget completion –
  • Manage relationships with external vendors, contractors, and service providers, including contract terms, performance evaluation, and oversight to ensure quality workmanship, adherence to schedules and budgets, and excellence in service delivery.
  • Monitor and analyze key performance indicators (KPIs) to measure and improve operational efficiency and service quality
  • Monitor and manage the maintenance budget, ensuring cost-effective operations –
  • Responsible for inventory of maintenance supplies and equipment, ensuring availability and proper storage
  • Maintain a computerized maintenance management system (CMMS) for tracking work orders, maintenance history and inventory management
  • Coordinates with VP Facility Management for the engagement of external vendors and contractors working in buildings, establishing expectations of proper workmanship, and ensuring adherence to contracts.
  • Leads maintenance team, and acts as key member of operations leadership team, in Disaster Prevention and Recovery, Safety, and Regulatory Compliance efforts.
  • Develop and prepare presentations, analysis, reports, and other data and materials to executive and departmental leaders as requested
  • Additional projects and team support as needed

Leadership and Employee Engagement

  • Build and manage high performing teams with industry leading talent to deliver optimal performance in alignment with the

  organization’s core values, goals and initiatives

  • Mentor, develop and provide strategic direction and leadership to a team of Maintenance directors and other maintenance staff across multiple properties
  • Oversee the execution of preventive and corrective maintenance activities and tasks for the communities for which direct reports are assigned, ensuring minimal disruption to residents
  • Assign tasks and responsibilities to team members, delegating work effectively to maximize efficiency and productivity; identify

 and mitigate risks that may impact the team’s ability to achieve its goals or objectives

  • Participate in performance management process under the guidance of the Regional Director, collaborating with team members to establish goals, monitor and evaluate progress and performance, conduct performance reviews, provide regular feedback, and address performance issues or concerns as needed
  • Support the professional growth and development of team members through training, mentoring and career development opportunities
  • Engage in employee relations by way of resolving conflict between team members, conducting employee investigations, issuing corrective actions based on findings in a fair and constructive manner
  • Foster a culture of accountability, empowerment, and engagement among team members in a positive and inclusive work

Quality Assurance

  • Perform routine site surveys and regular assessments, recording findings in organizations’ CMMS program
  • Recommend new approaches, policies, and procedures for continual improvements and efficiency within the department and services offered and/or performed
  • Advise the Regional Director of any nonconformance items and provide recommendations and corrective action measures, making changes or corrections as required

 

Financial Management

  • Record capital expenditures into the property management software platform approve invoices (i.e. Yardi)
  • Participate in the facilities services budget process, including forecasting, cost control and financial reporting to optimize resources and achieve financial objectives
  • Develop and manage regional budgets, ensuring financial health and profitability
  • Analyze financial reports and make data-driven decisions to optimize revenue and control costs
  • Work closely with finance and accounting teams to ensure accurate reporting and forecasting
  • Assist with the development and management of annual capital plans that prioritize investment in support of corporate goals, minimization of total cost of ownership, and maximization of resident experience.
  • Collaborate with VP Facility Management in the planning and implementation of major capital project execution and new community development.

Education, Experience and Skills Required

  • High school diploma & five-year relevant experience
  • Minimum Five (5) years’ experience in facilities services or management, preferably within senior living or health care industry
  • Basic knowledge of plumbing, electrical, heating/cooling and general repair skills
  • Strong written, verbal, and interpersonal skills with the ability to communicate effectively with diverse stakeholders at all levels of the organization, including senior leadership and external partners
  • Strong problem-solving, organizational, and analytical skills
  • Detail-oriented and able to handle multiple projects, meet deadlines and apply sound business judgement.
  • Proficient in computer literacy, including the ability to learn new software and systems
  • Proficient in Microsoft Office365 products (Excel, Outlook, Word, PowerPoint, Yardi) preferred
  • Able to maintain confidential information
